THE TEAM
Our Document Control function plays an important role in ensuring that project and business information is accurate, secure, traceable and accessible to the right people at the right time.
As part of our continued growth, we are looking for a Document Controller to support our teams by maintaining high standards of document control, compliance and information management across the business.
You will work closely with project teams and different departments to ensure documents are properly managed throughout their lifecycle and that the required processes and standards are consistently followed.
SCOPE OF ROLE
As Document Controller, you will be responsible for managing document control processes and systems, ensuring that records, files and project documentation are accurately maintained, securely stored and accessible to relevant stakeholders.
You will play an important role in maintaining document control standards, supporting compliance requirements and ensuring that documents are properly reviewed, approved, distributed, archived and retrieved.

WHAT YOU'LL BE DOING
Document Control & Management
Establish and maintain document control procedures and standards to ensure a consistent approach across the business.
Manage electronic document management systems (EDMS), ensuring documents are properly organised, accessible and maintained.
Maintain accurate document registers, records and filing systems.
Ensure appropriate version control and document naming conventions are followed.
Review documents for accuracy, completeness and compliance with required standards.
Ensure documents are securely stored and accessible to authorised stakeholders.
Document Review & Approval
Coordinate document review and approval processes.
Track document status and ensure reviews and approvals are completed within required timescales.
Monitor document distribution and retrieval.
Ensure superseded or outdated documents are appropriately identified and managed.
Maintain clear audit trails and accurate document histories.
Project & Stakeholder Support
Work closely with project teams and internal departments to understand their document control requirements.
Provide support and guidance on document control processes and systems.
Ensure project documentation is available to the relevant teams when required.
Support effective information flow between project stakeholders.
Identify and resolve document control issues in a timely and professional manner.
Compliance & Records Management
Ensure compliance with JSM's document control policies and relevant industry standards and regulations.
Maintain project and business archives in accordance with established procedures.
Ensure outdated or superseded records are appropriately archived or disposed of.
Support audits and compliance activities by providing accurate and traceable documentation.
Contribute to maintaining professional and consistent document control practices across JSM.
WHAT IT TAKES
Essential Experience
Relevant professional experience in document control, document management or information management.
Solid understanding of document control processes, procedures and best practices.
Experience working with electronic document management systems (EDMS).
Strong organisational skills and excellent attention to detail.
Confident use of Microsoft Office, particularly Word and Excel.
Good understanding of document version control, document registers and document lifecycle management.
Ability to work effectively with multiple teams and stakeholders.
Strong communication and coordination skills.
Ability to manage priorities and meet deadlines in a project-driven environment.
Desirable Experience
Experience with one or more of the following EDMS or project management platforms would be advantageous:
Procore
Asite
Aconex
Viewpoint 4 Projects
BIM 360
Experience within construction, engineering, infrastructure, utilities, energy or another project-based environment would also be beneficial.
A Bachelor's degree in Business Administration, Information Management or a related field would be advantageous.
Knowledge of industry-specific standards, regulations and compliance requirements relating to document control would also be beneficial.
