Subcontractor Administrator
THE TEAM
Join a growing and fast-paced Procurement Team at JSM Group, where we support the delivery of critical infrastructure projects across the UK and overseas. Operating in the power, communications, gas, and water sectors, our projects can reach values of up to £60m. To deliver these successfully, we rely on a highly effective and compliant subcontract supply chain. As our business continues to grow, we are looking for a Subcontract Administrator to support the onboarding, compliance, and administration of subcontractors across our projects.
SCOPE OF ROLE
In this role, you will support the Procurement function by managing the subcontract onboarding process, compliance checks, and documentation control across the supply chain. You will work closely with Procurement, Commercial, and Project Teams to ensure all subcontractors meet company and regulatory requirements and that documentation is correctly prepared and executed before project works commence. This role is ideal for someone with strong administrative, organisational, and compliance management skills who thrives in a fast-paced infrastructure or construction environment.
HOW YOU’LL SUCCEED
Carry out compliance checks and onboarding of new subcontractors using specialist procurement software.
Support the conversion of existing supply chain partners to meet updated compliance requirements.
Obtain and manage mandatory subcontract documentation for project packages.
Assist Project Teams with the collation and preparation of subcontract documentation prior to execution.
Ensure required approvals are in place, including Permission to Proceed (PTP)
Manage the execution of subcontract agreements via DocuSign, including electronic filing and document control
Use procurement systems to create subcontract purchase orders (POs) within ERP software
Maintain and manage the subcontractor database
Produce reports and documentation for senior management as required
Coordinate and manage supply chain communications
WHAT YOU BRING
Strong administrative and organisational skills
Excellent written and verbal communication skills
Ability to prioritise workload and manage multiple tasks effectively
Analytical thinking with strong problem-solving ability
Ability to work independently as well as part of a collaborative team
Professional and confident manner
Strong IT skills including Microsoft Word, Excel, DocuSign, and procurement systems
High attention to detail and ability to maintain confidentiality
REQUIREMENTS
Ideally 5–10 years’ experience in an administrative role within a utilities, infrastructure, power, or construction environment
Experience supporting subcontract administration or procurement processes
Familiarity with construction contracts or subcontract documentation would be advantageous
